By booking a course with Changing Minds Training, you acknowledge that you have read, understood, and agree to be bound by these terms and conditions.
Definition of terms:

"CMT/We/Us/Our" means Changing Minds Training.

"Learner/learners" means the person/people attending the course.

"Organiser" means the person booking the course.
-
"Public course" means any training course, workshop, or educational session held at a public venue or online, open to individual learners from different organisations, with fees charged on a per-person basis.

"Semi-private course" means any training course, workshop, or educational session arranged and hosted by an organisation at their chosen date and venue, with remaining places made available for individual bookings by learners from other organisations on a per-person basis.

"Private course" means any training course, workshop, or educational session delivered exclusively for a single organisation at the client's premises, a venue of their choice, or online, with fees typically charged as a fixed group rate, rather than per individual learner.

"Classroom course" means any training course, workshop, or educational session delivered in-person at a physical venue, requiring learners to attend at a specified location on scheduled dates.

"Online course" means any training course, workshop, or educational session delivered remotely via digital platform, allowing learners to participate remotely from any location with suitable technology and internet connectivity

"Course materials" means all training manuals, workbooks, handouts, digital resources, presentations, and any other content provided as part of the course.

"Course start date" means the first scheduled day of training as confirmed in the booking confirmation.

"Accrediting body" includes MHFA England, NCSPET, or other professional organisations that provide quality assurance and accreditation for our training programmes.
1. Acceptance of Bookings
1.1 All bookings are subject to availability and acceptance by CMT.
1.2 We reserve the right to reject a booking. If we do not accept your booking, we will inform the organiser by email as soon as possible.
1.3 A booking is confirmed once the organiser receives written confirmation from CMT via email.
1.4 If the organiser has not received a booking confirmation by the next working day of the booking, please email enquiries@changingmindstraining.com
2. Payment Terms
2.1 Full payment is required before the course start date unless alternative arrangements have been agreed in writing.
2.2 Payment can be made via card or invoice, payable by bank transfer, credit/debit card, Klarna, or other methods as agreed in writing.
2.3 For eligible bookings, payment plans may be available through Klarna. Klarna's terms and conditions apply to any payment plan arrangements. Cancellation and refund policies remain subject to our standard terms regardless of payment method.
2.4 Failure to pay within the agreed timeframe may result in cancellation of the booking.
2.5 Fees are guaranteed once a booking is confirmed. However, fees are subject to change for future bookings.
2.6 All prices exclude VAT unless stated otherwise.
3. Cancellations & Transfers
3.1 Cancellations by client:

30 or more days before course start date: full refund will be given
-
Between 15 and 29 days before course start date: 50% refund will be given
-
Less than 14 days before course start date: no refund will be given
-
Non-attendance: no refund will be given
3.2 If a learner can no longer attend a course date, they can freely nominate another person to attend the same course date in their place. This must be confirmed in writing at least 14 days before the course start date.
3.3 Learners can be transferred to another course of the same value or less within 12 months of the original booking, at no extra cost, if we are advised more than 14 days before the course start date.
3.4 One free transfer is permitted; subsequent transfers may incur an administration fee.
3.5 All transfers are subject to availability.
3.6 Cancellations by Changing Minds Training: we reserve the right to cancel or reschedule courses due to circumstances beyond our control. In such cases:

You will be offered an alternative date or full refund

We accept no liability for travel, accommodation, or other expenses incurred
4. Classroom Course Terms

4.1 Learners should arrive at least 15 minutes before the scheduled start time.
4.2 All necessary course materials will be provided on the day.
4.3 CMT reserves the right to change the venue if necessary, providing reasonable notice where possible.
4.4 Joining instructions will be sent via email at least 14 days prior to the course start date. If the learner has not received them by this point, please email enquiries@changingmindstraining.com
4.5 CMT is not responsible for non-attendance if joining instructions were sent to the email address provided but not received due to factors beyond our control (such as spam filters, incorrect email addresses, or failure to check emails). It is the organiser's and learners' responsibility to check their email regularly (including spam folders) and contact us at enquiries@changingmindstraining.com if instructions have not been received by 14 days before the course start date.
4.6 Learners are expected to conduct themselves professionally. We reserve the right to remove any learner whose behaviour disrupts the course.
4.7 Learners must comply with all venue health and safety requirements.
4.8 Where refreshments are provided, please notify us of any dietary requirements in advance.
5. Online Course Terms

5.1 Learners should arrive at least 10 minutes before the scheduled start time.
5.2 Learners are responsible for ensuring they have appropriate technology and internet connection to access online courses.
5.3 Limited technical support is available, but we cannot guarantee resolution of all technical issues on the learners' end.
5.4 Joining instructions will be sent via email at least 14 days prior to the course start date. If the learner has not received them by this point, please email enquiries@changingmindstraining.com
5.5 CMT is not responsible for non-attendance if joining instructions were sent to the email address provided but not received due to factors beyond our control (such as spam filters, incorrect email addresses, or failure to check emails). It is the organiser's and learners' responsibility to check their email regularly (including spam folders) and contact us at enquiries@changingmindstraining.com if instructions have not been received by 14 days before the course start date.
5.6 All necessary course materials and login details will be provided at least 24 hours before the course start time.
5.7 The fee for online courses is for the pre-agreed number of persons. Joining links are unique to registered learners and must not be shared. Any additional learners discovered during the course may be removed from the session or subsequently invoiced for their attendance.
5.8 Recording is prohibited on all of our courses.
5.9 Learners are expected to participate fully and conduct themselves professionally, including keeping cameras on where requested and engaging in discussions. We reserve the right to remove any learner whose behaviour disrupts the course.
6. Private Course Terms

6.1 Private courses typically require a minimum and maximum number of learners as agreed at the time of booking.
6.2 Some course content can be tailored to organisational needs as discussed and agreed in advance.
6.3 For private courses at the clients premises, the organiser is responsible for providing a suitable venue with necessary facilities unless otherwise agreed.
6.4 Once dates and times are agreed and confirmed in writing between CMT and the organiser, the standard cancellation and transfer terms apply.
6.5 For organisations booking multiple places, the organiser confirms they have authority to enter this agreement on behalf of their organisation and to act as primary contact.
7. Public Course Terms

7.1 Public courses require minimum learner numbers to run. If minimum numbers are not met the course may be cancelled or rescheduled with at least 14 days notice and learners will be offered an alternative date or a full refund.
7.2 Public courses include learners from various organisations, sectors, and backgrounds.
8. Age Requirements
​
8.1 Learners must be 16 years or older to attend our courses, unless otherwise specified for particular programmes.
8.2 Learners aged 16-17 may require parental or guardian consent depending on the course content. We will advise of this requirement at the time of booking.
9. Certificates & Accreditation
​
9.1 Certificates of attendance will be issued to learners who attend the full course.
9.2 Where applicable, courses meet the standards of relevant accrediting bodies. Details will be provided in course materials.
9.3 Where applicable, certificates are valid for the period specified by the accrediting body (e.g., MHFA England certificates are valid for 3 years). Learners should complete refresher training before expiry to maintain certification.
10. Professional Practice

10.1 Course content is for educational and training purposes only.
10.2 Learners are responsible for applying course content appropriately within their professional context.
10.3 Courses do not constitute professional advice, replace professional qualifications, or clinical training where required.
10.4 Learners should follow their organisation's policies and procedures.
11. Liability

11.1 Changing Minds Training provides courses with reasonable skill and care.
11.2 We accept no liability for:

Indirect or consequential losses

Loss of profits, business, or revenue

Losses arising from learner's application of course content
-
Personal injury (except where caused by our negligence)
11.3 Our total liability is limited to the course fee paid.
11.4 Nothing in these terms excludes our liability for death or personal injury caused by negligence, fraud, or other matters that cannot be limited by law.
12. Intellectual Property

12.1 All course materials, content, and intellectual property remain the property of Changing Minds Training and/or the accrediting body.
12.2 Materials may not be reproduced, shared, or used for commercial purposes without written permission.
12.3 Learners may use materials for their personal professional development only.
13. Data Protection
​
13.1 We collect and process personal data in accordance with UK GDPR and Data Protection Act 2018.
13.2 Information collected will be used solely for course administration and communication unless marketing has been authorised by the learner or organiser.
13.3 We will not share your data with third parties without consent, except where required by law.
13.4 You have the right to access, correct, or request deletion of your personal data.
14. Force Majeure

14.1 Neither party shall be liable for any failure or delay in performing their obligations where such failure or delay results from circumstances beyond reasonable control, including but not limited to:

Acts of God, flood, drought, earthquake, or other natural disaster

Epidemic or pandemic
-
Terrorist attack, civil war, civil commotion, or riots
-
Nuclear, chemical, or biological contamination
-
Collapse of buildings, fire, explosion, or accident

Strikes or industrial action
-
Government restrictions or intervention
14.2 In such circumstances, we will make reasonable efforts to provide alternative arrangements or reschedule courses where possible.
15. Governing Law & Jurisdiction

15.1 These terms and conditions are governed by and construed in accordance with the laws of England and Wales.
15.2 Any disputes arising from these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
16. Severability
​
16.1 If any provision of these terms is found to be invalid, illegal, or unenforceable by a court of competent jurisdiction, such provision shall be deemed modified to the minimum extent necessary to make it valid and enforceable.
16.2 The invalidity or unenforceability of any provision shall not affect the validity or enforceability of any other provision, which shall remain in full force and effect.
17. Entire Agreement

17.1 These terms and conditions, together with our Privacy Policy and any written booking confirmation, constitute the entire agreement between the organiser and CMT.
17.2 These terms supersede any prior agreements, representations, or understandings between the parties, whether written or oral.
17.3 For private courses, a separate written contract may be provided which will take precedence over these standard terms where there is any conflict.
17.4 No variation of these terms shall be valid unless agreed in writing by an authorised representative of CMT.
17.5 Nothing in these terms affects your statutory rights under the Consumer Rights Act 2015 or other applicable consumer protection legislation.
18. Feedback & Complaints

18.1 We welcome feedback and continually strive to improve our services.
18.2 Any complaints should be submitted in writing to enquiries@changingmindstraining.com within 14 days of the course.
18.3 We will acknowledge complaints within 5 working days and provide a full response within 28 days.
